QuickLists are ad hoc task lists you can use for personal to‑dos or collaborative projects with others. They’re designed for fast, flexible task creation that doesn’t recur.
Getting started with QuickLists
Open from the Inbox
- Head to your tasks on the inbox page to get started with a new QuickList.
Privacy and collaboration
- By default, a QuickList is private and ideal for personal tasks.
- You can switch it to public and assign others to create a collaborative list.
Creating and structuring a Quick List
Structure your list
- Create sections for big buckets of work.
- Add tasks inside each section.
Reordering and adding steps
- Drag to reorder items within a section or move steps to a different position.
- Insert new steps as your list evolves.
Features and actions in Quick Lists
Common workflow features
QuickLists share many features with workflows, including data collection at each step. The available menu lets you manage each step with more options.
Actions you can perform on a step
- Assign the step to a person
- Comment on the step
- Add due dates
- Set reminders
Notifications and due dates
Just like workflow steps with due dates, you’ll be notified if a step becomes late.
Viewing and managing Quick Lists
Multiple lists and filtering
You can work on different task lists on this page or open a QuickList like a run, with the ability to filter the list and view the full history of actions.
Sharing and tagging
- Add more people to the list
- Give it a tag, just like a normal workflow run
Where Quick Lists live
Quick Lists live in your Tasks. Every item also appears in your Inbox and Calendar—nothing falls through the cracks.
