Organize Users into Departments

Departments divide your Manifestly account into separate spaces. Each department has its own people, workflows and runs, and activity in one department is invisible to people who are not in it. Departments help when:

  • Several teams in your company use Manifestly and each should see only its own work.
  • You have multiple locations and want each site focused on its own workflows and people.
  • You want private workflows that only a small group can see.

The master department

Every account starts with one department, the master department. Admins in the master department are master admins: they can see and change everything in the account, including departments they are not otherwise part of, and they can add themselves to any department. Everyone else sees only the departments they have been given a role in. See Understanding the Master Department in Manifestly.

An example

Here Sarah, John and Kelly are admins in the master department, and three other departments each have their own people.

Sarah, John and Kelly, as master admins, have access to everything. Sarah is not listed in IT, but she can still see it because she is a master admin. Mark can only use IT workflows and sees nothing in Human Resources. The same goes for Shruthi in HR.

Create a department

  1. Open Team from the side navigation, or go to app.manifest.ly/settings/users.
  2. Click + Department.
  3. Enter a Department Name, choose its Time Zone, and click Create Department. The time zone is used to calculate business-day due dates for the department's workflows and runs.

Add people to a department

On the Team page, open the department's three-dot menu and choose Manage Users, then click + Team Member. You can invite someone new, pick an existing person from another department, or add someone from Slack if your account is connected to it. A person's role is set per department, so someone can be an Admin in one department and Limited in another. See Add existing users to a new department and Managing Users and Their Permissions.

Workflows used by more than one department

In the example above, Onboarding is a department created for workflows that both IT and HR work on, while each keeps its own workflows private. A shared department like this is one option. The other is to keep the workflow in its home department and share it with the departments that need it. See Share Workflows Among Departments.

Multiple locations

If your business has several locations, set each one up as a department. Each site then has its own workflows, runs and people, and a person who works across sites can be added to more than one department.

Privacy

To keep workflows hidden from most of your organization, create a department for them and add only the people who should see them. Everyone else, apart from master admins, sees neither the workflows nor the activity in that department.
