Workflow Run Links
If you start the same shape of run again and again, with the same people and the same settings, a Run Link stores that setup once. Everyone then starts a correctly configured run in a single click instead of filling the new run page in from scratch and getting it subtly wrong.
Create a run link
Open the three-dot menu on the workflow's row on the Workflows page and choose the run links option. Configure the run exactly as you want it created each time, then save it.
The link then appears as its own option for starting that workflow.
What to store in one
Run links earn their keep when the same workflow is used in several distinct ways. A property inspection workflow might have one link per region, each with its regional team already as participants. A client workflow might have one link per service tier, each with the right data pre-filled.
The alternative is a written instruction somewhere telling people which boxes to tick, which is followed inconsistently and silently.
Run links versus schedules
They solve different halves of the same problem. A schedule decides when a run starts and needs nobody present. A run link decides how a run is set up when a person starts it. Work that is both regular and standardized wants a schedule; work that is standardized but starts when something happens wants a run link.
