Resorting steps and sections in the workflow editor
The order of steps in a workflow is the order people work them, so getting it right matters more than it looks. The workflow editor has a mode built for exactly this, where you can reorder steps within a section, reorder the sections themselves, and move steps from one section into another.
Switch to Organize & Sort
- Open the workflow for editing.
- Click Mode at the top right of the editor.
- Choose Organize & Sort.
The editor strips each step back to its title, so a workflow that filled several screens in the default mode fits on one. That is the point of the mode: reordering is much easier when you can see everything you are reordering at once. The other modes in the same menu do the same trick for one concern each, Data Fields, Due Dates, Conditional Logic, Reminders and Webhooks. See Workflow editor modes.
Reorder steps and sections
Drag a step by its sort handle to the position you want and release. The new order is saved as soon as you drop it, with nothing else to click.
Dragging a step past a section heading moves it into that section. The step keeps everything on it as it moves: its instructions, its data collection fields, its due date setting, its assignment and its conditional rules.
Sections have a sort handle of their own. Dragging a section takes its steps with it, so you do not have to move them one at a time.
Check conditional logic after a move
Nothing about a rule breaks by moving a step, but a rule reads a question answered earlier in the run. Moving a step above the question that controls it leaves a step that can never appear. After any reordering that crosses a conditional rule, open Conditional Logic mode and read the rules back.
Runs already under way
Reordering changes the workflow. Runs that are already going keep the order they started with, so nobody's part-finished run is rearranged underneath them. See Updating Runs When a Workflow Changes.
