Sharing a Dashboard Widget

Building a good dashboard widget takes thought, and it is wasted if every person on the team has to work it out for themselves. An admin can build one once and push it to entire departments.

Share a widget

  1. On the dashboard customization page, click Edit on the widget.
  2. Click Share at the bottom of the form.
  3. Tick the departments to share with, and click Share.

You need to be an admin. Everyone in those departments gets the widget on their dashboard automatically, with no action on their part.

What recipients get

A read-only copy, labelled Managed by admin. They cannot change its filters or delete it, which is the point: the view stays the one you designed.

They can still reorder it on their own dashboard, so a shared widget does not force itself to the top of everyone's screen. See Reordering Dashboard Widgets.

It keeps itself up to date

  • Edit the original and every copy updates in place.
  • Someone joins the department later and they get it automatically.
  • Unshare it and every distributed copy is removed.

One thing to expect: a person who cannot see what the widget filters on is skipped rather than given a broken widget. If you share a view filtered to a department somebody has no access to, they simply do not receive it, and nobody is told. So if a colleague says the widget never arrived, check what it filters on before assuming a fault.

What to share

Share the views a team should all be looking at, not personal ones: late work in the department, runs of the workflow that team owns, anything with a deadline nobody should discover late. Leave people their own space for the rest.
