Use Zapier to Create a New Run from a Hubspot Deal
Overview
You can create new Manifestly runs automatically from events in HubSpot using Zapier. In this example, you wire a Zap to create a new Manifestly run whenever a HubSpot deal moves to the Closed Won stage, automatically passing key data like the deal name and amount.
What you’ll need
- A Zapier account connected to your HubSpot and Manifestly accounts.
- A Manifestly workflow ready to receive new runs (the example uses a “New Deal” workflow).
Set up the Zap to create a Manifestly run
-
Trigger: HubSpot deal changes
In Zapier, choose HubSpot as the trigger app and select a trigger that fires when a deal is updated (for example, “Deal Stage Changed”). This lets the Zap respond to changes in the deal’s properties.
-
Filter: Only continue when the deal is Closed Won
Add a Filter step to ensure the workflow only runs when the deal stage is Closed Won (the transcript references “closed one” as the trigger condition). If the deal stage is not Closed Won, stop the Zap here.
-
Action: Run a Manifestly workflow
Add an action to run a Manifestly workflow. After connecting your Manifestly account, select the workflow you want to run (e.g., “New Deal”).
Configure the Run details
Set up the Manifestly run with the following details:
- Title: Set this to the HubSpot deal name so you can identify the run
- Assignments: Choose which people will work on the run (you can map this to workflow assignments if supported)
- External ID: Use the HubSpot deal ID so you can trace the run back to the original deal
-
Map data from HubSpot to Manifestly
Pass data from HubSpot into Manifestly as part of the run. For example, map the deal amount to the corresponding field in Manifestly so you can review the dollar value inside the run.
-
Test and enable the Zap
Test the Zap by updating a deal in HubSpot to Closed Won. Zapier should create the new Manifestly run automatically. Turn the Zap on once you’ve confirmed it creates the run as expected.
Example walkthrough
Imagine a HubSpot deal for a security audit for Acme Company with an amount of $10,000. The deal is currently in a stage like “Decision Maker Bought-In.” When you update the deal to Closed Won, Zapier reads the change, passes the filter (it’s Closed Won), and creates a new Manifestly run named after the deal. In Manifestly, you’ll see the new run on the Runs page, with:
- The external ID matching the HubSpot deal ID
- The deal amount set to $10,000
- The run titled with the deal name
You can open the run to verify details and confirm the amount and other fields were transferred correctly.
