Configuring Workflow & Run Reminders
Reminders in Manifestly help ensure important workflow steps and runs are completed on time by notifying the appropriate team members.
Setting Reminders in Workflows
You can set reminders either at the workflow level or for specific steps within a workflow.
- Step-Level Reminders:
- Set reminders relative to a step’s due date.
- Example: If a step is due two hours from the start of a run, you might set a reminder to trigger one hour before the step’s due date.
- Reminders are sent to the person or people assigned to the step (based on their role assignments).
- If the step is completed before the reminder time, no reminder is sent.
- Workflow-Level Reminders:
- Set reminders based on the run start or run due date.
- Example: Remind participants one hour before the entire run’s due date.
- Manage and review reminders via the Reminders page found in the “More” menu of your workflow.
Setting Reminders in Runs
When you create reminders within specific runs, you select a precise date and time:
- Open the menu on the far right of the step within a run.
- Set the exact date and time for your reminder (e.g., tomorrow at 5:00 PM).
- Reminders in runs are specific and absolute, unlike the relative reminders set in workflows.
- The reminder is sent to the person assigned to the step. If no one is assigned, everyone on the run receives the reminder.
Bulk Reminders from the Runs Page
Manifestly also allows you to send reminders in bulk from the Runs page:
- Filter runs by workflow type (e.g., Applicant Review) and status (e.g., late).
- Select the relevant runs.
- Click the option to send reminders, notifying all participants involved in those runs simultaneously.
Reminders are a powerful tool to keep your processes efficient and ensure tasks are completed promptly.
