Workflow Versioning

Why Versioning Matters

Workflows are living documents. As your team refines its processes, you’ll often need to make updates, sometimes small edits, sometimes large changes. Workflow versioning in Manifestly ensures you can make those edits safely without disrupting your live processes, while keeping a complete record of how your workflows evolve over time.

Draft vs. Published Workflows

  • Published Workflow
This is the version your team uses day-to-day. Runs are created from the published workflow, and participants follow its steps as part of their work.
  • Draft Workflow
Any edits you make are saved to a draft. Drafts let you experiment, refine, and test changes without affecting the published workflow. When you’re ready, you can publish the draft to make it the new live version.

Version History

Every time you publish a workflow, Manifestly automatically creates a new version in the workflow’s history. This means:

  • You’ll always know who made a change, what was changed, and when it happened.
  • You can restore a workflow to any previous version if you ever need to roll back.
  • Your organization has an audit trail of how processes have evolved, which is particularly useful for compliance and accountability.

Key Benefits

  • Safe Editing: Drafts prevent accidental changes from reaching your team until you’re ready.
  • Change Tracking: Automatic version history keeps your workflow evolution transparent.
  • Rollback & Restore: Mistakes or unwanted changes aren’t permanent—you can revert with a click.
  • Team Confidence: Everyone can trust that the published workflow is stable and up-to-date.

Example Use Case

Suppose your HR team needs to update the onboarding workflow to include new security training. With versioning:

  1. A draft is created and edited with the new steps.
  2. The draft can be tested internally to confirm everything works as intended.
  3. Once approved, the draft is published, creating a new version.
  4. If issues arise, HR can roll back to the previous version without losing progress.
