Assigning Steps in a Workflow
Overview
You can assign steps in a workflow either individually or in bulk. The assignment determines who is responsible for each step in every run. Each assignment is mapped to a person or a role, so the selected user will receive the step every time the workflow runs. For example, a step may be assigned to the Office Manager and mapped to Alison Jones; this means Alison Jones will be assigned that step on every run.
Assign a single step
- Click the avatar on the step to open the assignment modal.
- In the modal, choose to assign to people, quickly assign it to yourself, or assign it to a role.
- Review the current assignment mapping (for example, the Office Manager is mapped to Alison Jones). This shows who will be assigned the step.
- Confirm or apply the new assignment.
Assign multiple steps (bulk)
- Select multiple steps in the workflow editor.
- Use the panel on the right to assign all selected steps at once.
- Choose the desired assignee (person, yourself, or a role). The assignments will apply to all selected steps.
Assign by section (bulk)
- Click the section header to select all steps within that section.
- Change those steps to the desired assignee (for example, assign to the manager).
- All steps in that section will now be assigned to the chosen person or role.
What happens on runs
After you set assignments, every time the workflow is used, the runs will have those specific assignments applied to the corresponding steps.
Example scenario
The step is currently assigned to the Office Manager and mapped to Alison Jones. Because of this mapping, Alison Jones will be assigned that step on every workflow run, unless you change the assignment.
Tips
- You can quickly assign a step to yourself using the modal.
- Use bulk and section-level assignments to speed up setup for large workflows.
